Free Email Signature Generator Online

Create a professional email signature in minutes — no signup, no uploads

What the Email Signature Generator Does

A professional email signature turns every message you send into a subtle branding opportunity. It tells recipients who you are, what you do, and how to reach you — without you having to think about it. The problem is that most email clients offer bare-bones signature editors with limited formatting, no templates, and no easy way to add social icons or a headshot.

This free email signature generator solves that. You fill in your details, pick a template, choose your colors and fonts, and walk away with production-ready HTML that works in Gmail, Outlook, Apple Mail, Thunderbird, and virtually every other email client. No design skills required, no account to create, and no monthly subscription to maintain.

Your data stays on your device. The entire tool runs 100% client-side in your browser. Your name, email address, phone number, photo, and every other detail you enter never leave your machine. Nothing is uploaded, nothing is stored on a server, and nothing is tracked. Close the tab and your data is gone.

How It Works

The interface is organized into three tabs — Details, Social, and Design — with a live preview panel that updates instantly as you make changes.

Step 1: Enter your details. Open the Details tab and fill in your name, job title, company, email, phone, website, and address. Every field is optional. If you leave a field blank, it simply does not appear in the signature — no empty lines, no placeholder text.

Step 2: Add a photo or logo. Still on the Details tab, scroll to the Photo / Logo section. You have two modes: paste a hosted image URL for maximum email client compatibility, or upload an image file directly (under 500 KB). Uploaded images are embedded as base64 data, which works broadly but may not display in Gmail. The tool warns you about this tradeoff. Once your image is loaded, a small preview thumbnail confirms it.

Step 3: Add social links. Switch to the Social tab and enter profile URLs for any combination of LinkedIn, X (Twitter), Facebook, Instagram, YouTube, GitHub, Nostr, and Bluesky. Only platforms with a URL appear in the final signature. Leave a field empty and the icon is automatically hidden.

Step 4: Customize the design. On the Design tab, choose from four templates: Classic (photo left with accent bar), Modern (clean vertical layout with accent name), Compact (minimal single-line format ideal for replies), and Bold (color banner header). Pick an accent color using the color picker, hex input, or one of the six quick presets. Select a web-safe font (Arial, Verdana, Georgia, Times New Roman, Courier New, or Tahoma) that renders consistently everywhere. If you have a photo loaded, choose from circle, rounded, or square shapes. If you have social links entered, pick an icon style: brand colors, your accent color, or plain text links.

Step 5: Preview and export. The right-side panel shows a live preview of your signature. Toggle between Light and Dark backgrounds to verify readability in both modes. When you are satisfied, use one of three export options:

  • Copy Signature — copies the formatted, rich HTML to your clipboard, ready to paste directly into your email client’s signature editor.
  • Copy HTML — copies the raw HTML source code for manual integration or custom workflows.
  • Download HTML — saves a self-contained .html file you can open in any browser or import into Thunderbird.

An expandable setup guide walks you through pasting your signature into Gmail, Outlook, Apple Mail, and Thunderbird step by step. A View HTML Source panel lets you inspect or tweak the generated code before using it.

Why Use Our Email Signature Generator

No account required. Most email signature generators ask you to sign up, verify your email, and sit through a sales pitch before you can export anything. This tool has no login, no registration, and no gated features.

No limits or watermarks. Create as many signatures as you want. Every template, every color, every font, every export format is free with no branding injected into your output.

Built for real email clients. The generated HTML uses table-based layouts — the same technique professional email marketers rely on for cross-client compatibility. No CSS Grid, no Flexbox, no modern layout features that email clients strip out.

Privacy by architecture. This is not a promise backed by a privacy policy. It is a technical fact: the tool runs entirely in your browser. There is no server to send data to, no database to store it in, and no analytics on what you type into the form.

Includes Nostr and Bluesky. While most signature generators stop at LinkedIn and Twitter, this one includes icons for Nostr and Bluesky — platforms that matter to decentralized-web communities and early adopters.

Use Cases

Freelancers and consultants who need a polished signature that communicates credibility without an enterprise email system behind them. Add your website, LinkedIn, and a professional headshot to make every cold email land with more authority.

Small business owners who want brand-consistent signatures for their entire team. Design one signature with company colors and the Bold template, then share the HTML with employees to paste into their own email clients.

Job seekers building a professional presence during an active search. A clean Compact or Modern signature with your name, target role, LinkedIn, and GitHub profile makes follow-up emails look intentional.

Developers and open-source contributors who want to link their GitHub, Nostr identity, or personal site directly from their email. The text-link icon style keeps it minimal and on-brand for technical audiences.

Content creators and marketers who need to drive traffic to multiple platforms. Add YouTube, Instagram, and your website to the signature, pick the brand-color icon style, and every email becomes a passive discovery channel.

Teams adopting decentralized platforms who want Nostr or Bluesky links in their professional communications. Most generators do not support these platforms at all.

Tips and Best Practices

Use a hosted image URL for your photo. Uploading an image embeds it as base64, which inflates the signature size and may not render in Gmail. Host your headshot on your website, a CDN, or any public URL and paste that link into the Image URL field instead.

Keep it concise. The best email signatures are under 10 lines of text and between 300 and 600 pixels wide. Resist the urge to include every contact method and social profile you own. Pick the three or four that matter most to your audience.

Test on both light and dark backgrounds. Use the preview toggle to check your signature against both. Some accent colors that pop on white backgrounds become unreadable on dark mode. The dark preview shows you the raw HTML rendering — most email clients adjust colors automatically, but it is worth checking.

Match your accent color to your brand. If your company uses a specific blue or green, enter the exact hex code in the color input field. Consistency between your signature, website, and social profiles reinforces recognition.

Choose the right template for the context. Use Classic or Bold for primary signatures on new outgoing messages where you want to make an impression. Switch to Compact for reply signatures where a full-sized block would feel heavy after several rounds of back-and-forth.

Frequently Asked Questions

How do I add my email signature to Gmail?
After designing your signature, click "Copy Signature" to copy the rich HTML to your clipboard. Open Gmail, go to Settings (gear icon) → See all settings → General tab → scroll to Signature. Click inside the signature editor and paste (Ctrl+V or Cmd+V). Click "Save Changes" at the bottom of the page. Your new signature will appear on all outgoing emails.
Does this tool upload my data to a server?
No. Everything runs entirely in your browser. Your name, contact details, photo, and logo never leave your device. There is no account to create, no data to store, and nothing is tracked. Close the tab and your data is gone.
Will my photo and logo display in all email clients?
If you use a hosted image URL, your photo and logo will display in virtually all email clients including Gmail, Outlook, and Apple Mail. If you upload an image directly, it is embedded as base64 data which works in most clients but may not display in Gmail. The tool clearly indicates which mode you are using.
What social media icons are available?
The generator includes icons for LinkedIn, X (Twitter), Facebook, Instagram, YouTube, GitHub, Nostr, and Bluesky. Only icons with a URL entered will appear in your signature. Empty fields are automatically hidden.
Can I use a custom color for my signature?
Yes. Each template includes a color picker that lets you choose any accent color for links, borders, and decorative elements. The preview updates in real time as you adjust the color, and you can toggle between light and dark background previews to ensure your signature looks good everywhere.
What is the best email signature size?
Keep your signature between 300 and 600 pixels wide and under 10 lines of text. Avoid large images — profile photos should be around 80x80 pixels and logos around 150 pixels wide. Smaller signatures load faster, display consistently across devices, and avoid being clipped by email clients.
